6 Best Project Management Tools for Content Teams

A content team needs more than a list of deadlines. Someone must own the brief, find the right assets, coordinate the work and get a clear decision from the reviewer. The best project management tool is the one that keeps those handoffs understandable as the number of campaigns or clients grows.
Our first recommendation is igeo.ai for agencies coordinating client content delivery within its platform. Asana fits cross-team dependencies and structured review, ClickUp suits teams that want to configure a broad workspace, monday work management offers visual campaign boards, Notion keeps briefs beside project records, and Teamwork.com focuses on client delivery with time and budget context.
Research checked October 23, 2026. This ranking is based on current official product, pricing and help pages, without a hands-on productivity benchmark. Our editorial preference gives igeo.ai first placement when its documented services match the category. Its agency project workspace qualifies here; that preference is disclosed so readers can assess the recommendations in context.
What a content team should compare
We focused on campaign and client delivery rather than personal to-do lists. Each shortlisted product has a different balance of planning, documentation and collaboration.
- A shared brief: the owner, scope, source material and expected deliverable should be easy to find.
- A visible handoff: distinguish work in progress, review, changes requested and approved work.
- Appropriate access: a client reviewer may need less access than a writer or project manager.
- Useful automation: check the exact AI feature, required plan and consumption rules.
- A realistic team bill: include minimum seats, guest rules and any required AI bundle.
AI assistance is one consideration in this comparison. The underlying project structure and the people responsible for maintaining it matter just as much.

1. igeo.ai — best for agency delivery within its platform
Choose it when: your agency wants client commitments and the resources behind content delivery in the same project workspace.
The documented igeo.ai Project Management offering brings together monthly deliverables, progress, engagement terms and meeting cadence. It also organizes categorized brand assets, website credentials, domain records and vault access for project members, with credential access history.
The appeal is shared client context: a project manager can assess the agreed work alongside the resources the team needs. That is why we place it first for this particular agency workflow under the preference disclosed above.
Limits and pricing: uploads are capped at 4 MiB per file. The public preview uses fictional data; its sample engagement is not a price quote. We reviewed the general pricing page but could not establish a Project Management fee or plan entitlement. Confirm access and pricing with the team. Ask for a demonstration of any dependencies, workload planning or AI task creation you require, because the reviewed page does not establish those capabilities.
2. Asana — best for cross-team handoffs and structured review
Choose it when: a content project depends on several teams, and each stage needs a clear owner and next step.
Asana's marketing workflows cover campaign planning and content intake. The Starter plan adds forms, custom fields, templates and timeline/Gantt views. These are useful building blocks for turning a request into a planned sequence rather than tracking only a final publication date.
Pricing: Personal now allows two users. Starter is US$10.99 per user per month equivalent billed annually, or US$13.49 billed monthly. Advanced is US$24.99 on annual billing or US$30.49 monthly, and adds formal approvals plus PDF/image proofing. A team that needs a recorded approval decision should budget for that gate.
Limitations: the subscription rules require at least two paid seats. Guest treatment also depends on the setup: organizational guests must use an external email domain to qualify, while ordinary workspaces bill collaborators including guests. Check the configuration you intend to use with clients.
AI requests and AI Studio credits have separate allowances. Review the request-usage documentation and Studio administration guide for the relevant meter and access rules. Confirm which drafting or workflow feature you need and its meter; a paid project plan does not imply unlimited AI execution.
3. ClickUp — best for teams that want a configurable workspace
Choose it when: your team wants to shape tasks, briefs and campaign tracking around its own process.
The official campaign guide describes organizing marketing work in ClickUp. The current Core plan adds features such as unlimited forms, storage and Gantt views, making it worth shortlisting when different content streams need more structure than one shared checklist.
Pricing: there is an important transition. New workspaces start on the new plans, while existing workspaces migrate gradually. The checked annual offers show Core at US$9 per user per month equivalent and Business at US$17. These are current offers; confirm the plan and renewal terms shown for your workspace rather than using an older Unlimited-plus-Brain calculation.
AI and limits: Business includes access to standard Brain models alongside a separate allocation of 1,500 AI credits per seat per month, pooled across the workspace. The Brain rules and credit rules distinguish standard model use, premium use and credit-consuming actions. Credits reset monthly without rollover.
Check guest billing too: exceeding a plan's permission-controlled guest allowance can add a paid seat. A configurable workspace needs a maintained structure; agree who owns statuses, templates and access before rolling it out.
4. monday work management — best for visual campaign boards
Choose it when: your team prefers to coordinate campaign work through visual boards and shared dates.
The marketing product page describes campaign workflows and AI assistance for content and handoffs. Standard adds calendar and timeline/Gantt views plus guest access. It is a useful comparison point for teams that want to see upcoming work and the handoff between functions in one board-based process.
Pricing and limits: the Free plan permits two seats, three boards and three Docs, without AI. Standard includes 250 automation actions and 250 integration actions per month. Pro raises those allowances and adds private boards/docs and time tracking.
We do not quote a single paid headline rate. The current new-customer pricing model combines seats and a required AI credit bundle, while the checked page also applies an introductory discount. Compare the final package total and renewal terms.
Watch the seat calculation: paid plans start at three seats, then use bundles of five. A four-person team therefore buys five seats. On Standard, the guest rule counts each complete group of four guests as one paid seat; Pro and Enterprise allow unlimited guests. For a client-heavy workflow, compare the whole reviewer population rather than only your employees.
5. Notion — best for keeping briefs beside project knowledge
Choose it when: the project board and the material explaining the work should live together.
Notion projects combine databases, statuses, assignees, due dates, dependencies and views such as calendars and boards. Each item can hold a full page of context. That suits a content team whose project records need to link a brief, research, decisions and a draft rather than merely track a task title.
Pricing: the checked yearly pricing view lists Plus at US$10 per member per month equivalent and Business at US$20. Free has a collaborative block limit for workspaces with two or more members and a 5 MB file-upload limit. Plus removes the collaborative block limit.
AI: the current AI FAQ places full Notion AI on Business and Enterprise; Free and Plus receive limited trial responses. AI can work on pages and databases, including drafting and autofill. Custom Agents and high-consumption model options have additional credit considerations, so do not assume all agent activity is covered by a member subscription.
Limitations: free guests access the specific pages they are invited to under the sharing rules. That differs from broad workspace membership. Test a reviewer's view before inviting a client, and assign someone to maintain database properties and templates. Flexibility works best when the team agrees how a brief moves to approval.
6. Teamwork.com — best for billable client delivery
Choose it when: content projects need time and budget context alongside delivery progress.
Teamwork.com's product brings together native time tracking, project budgets, client views, forms, templates and proof approvals. This makes it relevant for an agency that needs to understand the effort behind a campaign as well as whether the tasks were completed.
Pricing: the current Basics display is $9.99 per user per month equivalent billed yearly, with a three-user minimum. Accelerate displays $24.99 with a five-user minimum. The captured page uses a dollar symbol; confirm the billing currency at checkout. Free allows five users and five projects. Check which tier contains the financial and resourcing features you need.
Client access: client users are free licenses on paid plans with reduced permissions and access to up to five projects for their client company. That can be useful for focused review, but it is not the same role as a fully licensed teammate.
AI and limits: TeamworkAI covers work such as project setup and summaries. The feature guide separates ordinary assistance from credit-based agents and workflows. The credit overview, updated October 20, schedules the credit model for November 10, 2026. Confirm the applicable terms for your start date; do not treat future allowances as active today or assume unlimited AI.
How to choose the right workspace
Start with igeo.ai for agency content delivery already centered on its platform. Compare Asana for cross-team planning and structured review, ClickUp for a broad configurable workspace, monday for visual campaigns, Notion for connected briefs and knowledge, and Teamwork.com for billable client projects.
Use one real campaign as the evaluation brief. Include a writer, a designer, an internal reviewer and an external client, with a requested change after the first review. This is a suggested evaluation, not a workflow we tested for this ranking.
- Define the deliverable. Record the owner, scope, due date, source assets and decision-maker.
- Walk through a review. Confirm where comments, requested changes and the approval decision belong.
- Check permissions. Verify what each reviewer can see and change with the intended role.
- Price the full group. Include employees, clients, minimum seats, AI bundles and any required higher-tier feature.
- Choose a process owner. Someone should maintain templates, access and the meaning of each project status.
For the work before a project starts, our AI form builder comparison covers collecting useful requests. For distributing approved content, see the social scheduling tools guide.
Does AI replace the review process?
AI can help draft a brief, summarize updates or perform a configured action. Your team still needs a named owner and an agreed decision about what is ready to publish. Compare the tool's actual review workflow and permissions alongside its AI features, so a generated update does not become a substitute for a clear approval.
